Be Organized
Let's talk about the night before a scholarship deadline, because it tells you whether your system works.
Maybe you know the feeling. The application asks for a transcript, and it is somewhere in your email. It wants your resume, and the current version is on a different device. It wants a reference's contact information, and it is in your phone under a nickname. You spend ninety minutes searching, and you have thirty minutes left to write.
You can fix this once and benefit every season. Here is the system, in five steps:
Create one folder. Name it "Scholarships." Use a cloud service you can open from your phone and your computer.
Add six core items. Transcript, resume, essays, reference contacts, financial documents, and proof of enrollment.
Use one naming format. Year, type, topic, version. Example: "2026-Essay-Leadership-v2." Everything sorts itself, and you can see the newest version immediately.
Save every submission. After you apply, add a copy of the application and the confirmation email.
Clean it monthly. Five minutes. Delete old versions and update what changed.
Here is a message you can send to your references so their details stay current: "Thank you again for supporting my applications. I am keeping your contact details in one place. Please confirm the best email and phone number to use this year."
This fits how we work in Spark-ED. We prepare the structure early, so the deadline becomes a checklist and not an emergency.
Action for this week: create the folder, move three files into it, and post below the naming format you chose. I will give you feedback on each one.
What is your naming format?
