Phone System
Hey there, we are looking to upgrade our phone systems. Specifically, an option that works well for conferencing 4 or more people. Our current provider, MedTel, does not offer this option. We have also been battling a lot of spam calls. The spam filter MedTel said would help is not. We get at least 10 calls a day about our Google business listing 😵‍💫 We are considering Microsoft 365 Audio Conferencing and would love to hear any insights (good or bad) on this option. Please let me know your recommendations. Thanks!

@Teresa Burch a few in our firm use the phone app over the desktop app because they find it more reliable for them. I don't have it on my phone because it's too tempting to check it LOL But, I don't know if it's my headsets bluetooth connection or my desktop app, but I lothe zoom phone LOL I need to try a different headset and see if I have a better experience.
Activity Template vs. Workflow
I'm looking for feedback on the use of an activity template vs. workflow in RedTail specifically in small offices. I see huge value in workflows for larger offices where one person takes the call from a client who requests a distribution and someone else is the one to place the trades and someone else actually processes the money movement request, etc.. Does the same value exist for a small office to use workflows? Right now I'm using an activity template with the different pieces in there and think it meets our needs but I also don't want to overlook a feature if it will have a huge impact. Thanks in advance for any feedback!

we have 9 advisors and 7 staff; our staff uses both activities with bulllets and workflows. Which one is used just depends on the staff person. I LOVE workflows. I love not having to think about what comes next and when the next step should be. But, I do mostly account openings and admin for Financial Planning, things that have multiple steps over a period of time. I do have some workflows for smaller things: I do all of our SEI servicing, and I have workflows for Cash Receipts and a few other things. Could these be activities with bullets, yes, but, again, I love workflows LOL. Anyway, my point is that we allow for both, so that each staff person can work in the way that works best for them. Some were slow to adapt to even using the CRM for task tracking, one still doesn't. So, I'll take what I can get. Either way, at least, for most of us, all the info is in the system and we can all see what's going on. That's really what is most important.
Looking for Support to Untangle Our Team's Processes
Good morning all! @Kate Guillen I'm wondering if you or your team—or someone in the community—might be able to help us out. We're looking for a person or firm who can evaluate how we’re currently using our staff, review our processes and tasks, and help us figure out how to operate more efficiently. Over the last 6-ish years, we've grown from 3 staff members to 7. Task allocation has been a “best effort” approach, but we know we can do better. For example:Right now, we have four different staff members handling different investment servicing tasks. It's getting confusing—for the advisors, the team, and our clients. To make matters worse, some of us use workflows, others use task/activities, and a few aren’t using the CRM for task tracking at all. (Don’t even get me started on that—maybe hearing it from someone other than me will finally make it stick!) We’re hoping to find someone who can help us: - Evaluate our current staffing and task distribution - Make recommendations on how to best align roles with skill sets - Help us implement a more streamlined, consistent system - Kate, I’m not sure if this is something you all do, but I figured you might have some resources or referrals. Hey, Kate. We use Advisor360 through our BD. I looked up Tandem, because it wasn't a term I heard used with our system, but I think that's mostly what we use. To my knowledge, our BD has approved the AI portion, but we use the 360 system: Advisor360, Client360, and Investor360.
Encrypted Emails vs Secure Uploads
Good afternoon everyone and happy Good Friday. I’m looking to gather some input on best practices for securely sending and receiving client PII. Up until now, our firm has primarily used password-protected PDFs and secure upload links for exchanging sensitive client information. However, we’ve recently upgraded our Microsoft subscription, which now includes encrypted email capabilities. After confirming with compliance, we’ve been advised that this method meets regulatory standards as well. I’m curious what methods other advisors here are using. - Do you have a preferred method for sending/receiving PII? - Have you adopted encrypted email as a standard, or do you stick with portals or password-protected docs? - Any tips or best practices you’ve found helpful in communicating securely with clients? we use the secure email feature, where we just put the word "secure" at the beginning of the subject line, and it puts the email thread into a secure environment. Occasionally we have client's who question if the email is secure, but we refer them to the bottom of the email that tells them "This message was sent via secure encryption". No one has ever baulked after that. If I'm emailing them to attach a document back to them, I tell them that I've put the email into a secure environment, so that they can feel safe attaching what they need to to that email. Again, never run up against any pushback here. Though, for our Financial Planning clients who are sharing tons of documents with us, we do give them access to our client portal, so they can simply upload those documents to the portal.
