How I run my business with Grok Bot (9 min walkthrough)
I recorded a quick walkthrough of Grok Bot and how we actually use it day to day. It's the AI team that logs into HubSpot, Gmail, Chargebee and Xero for me, runs my routines, and does the $25-an-hour jobs so I can stay on the work that matters. It's 9 minutes and there's no hype, just the real setup. Watch it below. After you've watched, drop a comment: what's one job you'd hand to an AI team first?

One AI bot for the whole team, without losing control
Most teams hand out AI like a free-for-all, with everyone on their own account and their own passwords, and nobody watching the spend. This week I set up Grok Bot for my team, and the order matters. Permissions come first: logins go into a shared 1Password vault, so the bot can sign in without anyone pasting passwords into chat. Then one bot serves the whole team instead of five separate tools. Then the spend gets locked down, so you know exactly what each seat costs. The 80/20 rule still applies. Most of the value comes from a handful of tasks done reliably every day, not from the flashy stuff. AI saves you time. It doesn’t free the business.
AI can save you hours and still leave your business stuck. Say you’ve worked out how to get AI to write your quotes. It works well. But you’re the only one who knows exactly how to ask it, so every quote still waits for you. A Freedom Business runs without you in it. That means the know-how has to live in the business, not in your head. The fix: write down the task, the exact request you give the AI, and what a good result looks like. Then any team member can pick it up.

The right person. The right moment. Everything else runs itself.
Here is what a clean automation looks like in practice. A client enquiry comes in. The system pulls their history, drafts a proposal, and puts it in front of the right person ready to review. One decision. Send or tweak. No chasing. No manual data entry. No jumping between systems. That is what we build for our clients. The right person involved at exactly the right moment. Everything else runs on its own. What is one task in your business that could run itself if it was set up properly?

Your AI is only as good as what you feed it.
Most businesses connect Claude to their systems and get mediocre results. Then they blame the tool. The tool is fine. The data going in is the problem. Messy CRM. Inconsistent naming. Notes that only make sense to the person who wrote them. Processes that live in someone's head instead of somewhere Claude can read them. Clean data in. Useful output out. Bad data in. Bad results out. Before you connect anything to AI ask yourself - if a new team member read everything in this system would they understand your business? If the answer is no Claude will not either.
