Command note: the third time you fix the same thing by hand, the problem is not the fix. It is that nobody ever wrote the rule.
Every account collects small chores you handle manually because each one only takes two minutes. Two minutes, forty times a month, across six clients, is your week.
The ones hiding in plain sight:
• Retyping the same reply to the same question
• Moving a contact to the right stage after every booking
• Re-tagging leads the form should have tagged
• Chasing a missing phone number before anyone can call
• Reminding a client to answer their own inbox
Do this today:
1) Keep a running note for one week. Every manual fix, one line each.
2) At the end of the week, count the repeats. Three or more times is a candidate.
3) Take the top one and write the rule in plain English before you open any builder: when X happens, do Y, unless Z.
4) Build the smallest version that covers the common case. Leave the edge cases to a human on purpose.
5) Put a name and a review date on it so it does not quietly rot.
Most agency owners try to automate the whole job and stall. Automate the one sentence you can already say out loud, and you will ship it this week.
A chore you keep repeating is a rule you never bothered to write down.
